Manage school staff
School staff access is granted through individual invitations and memberships. Use each person’s own email and grant the smallest role required.

Invite a sheikh
Section titled “Invite a sheikh”- Open Manage, then Teachers. You can switch between Teachers and Administrators with the Staff tabs on desktop or mobile.
- Enter the person’s correct name and email where requested.
- Review available capacity.
- Send the invitation.
- Tell the recipient to use their own account and not forward the link.
- After acceptance, assign the appropriate halqa or learners.
A sheikh membership permits teaching workflows but does not grant protected school settings or staff administration.
Invite another administrator
Section titled “Invite another administrator”- Open Manage, then Administrators.
- Confirm that the person genuinely needs school-wide management access.
- Enter the recipient’s own details and send the invitation.
- Verify acceptance and explain the school’s operating responsibilities.
Administrators can reach sensitive school controls. Do not use an administrator invitation merely to solve a missing teaching assignment.
Review pending and active access
Section titled “Review pending and active access”Each Staff page lists active memberships separately from pending invitations, including the recipient, status, and expiry. If a recipient says access is missing, check the invited email, invitation status, active school, and role. Use Revoke invitation when the link should no longer work. The current hashed-token model does not resend the same invitation; revoke it and create a new invitation when a replacement link is required.

Remove access
Section titled “Remove access”Use the supported removal control when a teacher or administrator no longer needs access. Before removal:
- confirm the active school and person;
- transfer operating responsibility where necessary;
- preserve teaching and audit history;
- separately review API keys or shared operational credentials the person owned.
Removing a membership is not the same as deleting the person’s account or historical records. Removing a teacher also removes current halqa assignments, while preserving completed sessions, recitations, learning records, and audit history. Transfer active teaching responsibility before confirming removal.
