Start, run, and close a session

A session is a dated teaching record for one halqa and responsible sheikh. Attendance and recitations belong inside it. Closing the session locks those daily records against further editing.

  • Confirm the active school and current semester.
  • Confirm that the intended halqa is active and contains the expected students.
  • A sheikh must be assigned or otherwise eligible for that halqa; a school administrator can choose from the school options allowed by the form.
  • Check that another open session does not already represent the same meeting.
  • Review the monthly session limit shown by the school when applicable.
  1. Open Sessions and choose Start a new session.
  2. Choose the halqa.
  3. Confirm the session date.
  4. Add only shared teaching notes appropriate for the school record.
  5. Choose Start session.
  6. Verify the session heading, date, halqa, and responsible sheikh.

Waqar opens the new session and loads the halqa’s students. If Learning Plans are available, published or due assignments can appear in the session as teaching context.

  1. Mark every student’s actual attendance.
  2. Add recitations only for students marked Present.
  3. Review the Quran range, type, rating, repeat outcome, mistakes, and notes.
  4. Save or correct session notes while the session is open.
  5. Compare every listed learner with the meeting record.

Choose Close session only after review. The confirmation warns that attendance and recitations cannot be edited afterward. Closing records the closure time and preserves the session for reports.

For a sheikh, ownership of the session is also checked. A school administrator can perform permitted oversight actions, but should not close an incomplete session without coordinating with the responsible sheikh.

  • Missing halqa: check assignment, active status, school, and semester.
  • No students: add or carry students into the halqa before recording attendance.
  • Session limit reached: review effective capacity with the administrator.
  • Duplicate session: stop and use the intended existing session.
  • Closed too early: do not create replacement history; follow the school’s approved correction process.
