Create and manage halqas

A halqa groups students for teaching, sessions, reports, and—when enabled— Learning Plan policy. Create the teaching structure before assigning students.

  1. Open Halqas and choose Add halqa.
  2. Enter a clear Halqa name and optional short description.
  3. Choose the Responsible teacher if the sheikh is already a member.
  4. Select the intended grading scale.
  5. Save the halqa.
  6. Open it and confirm the responsible sheikh and empty student list.

If the sheikh is missing, complete the staff invitation and acceptance first. Do not assign a convenient but incorrect teacher merely to save the record.

Assign students through their supported student form. The halqa detail then lists its current students. A student with No halqa remains in the school but will not automatically appear in a halqa-specific session.

Use Edit halqa to correct its name, description, responsible sheikh, grading system, schedule where shown, or active status. Before changing a sheikh or scale, explain the effective date to staff and consider how reports will compare records created under different settings.

Making a halqa inactive preserves historical sessions and reports. It is not a substitute for deleting or rewriting teaching history.

When Learning Plans are enabled, the halqa can inherit the school policy or define an allowed halqa-level policy and planning configuration.

Student-level settings can further affect the effective result. Review the displayed policy source before assuming a change applies to every student.

  • Missing students: check the current semester, active status, and student assignment.
  • Missing sheikh: check invitation acceptance and active membership.
  • Missing planning controls: check Learning Plan entitlement and school enablement.
  • Capacity error: review the effective halqa or staff limit before retrying.
