Invite a parent

A parent invitation grants a parent account visibility into one intended student. The parent portal feature must be available for the school.

  1. Confirm the active school.
  2. Open the intended student’s profile and verify the name and halqa.
  3. Confirm the parent’s name and own email address through an approved school channel.
  4. Explain which records the school makes visible to parents.
  5. Check that no existing accepted link already provides the required access.

Never create the invitation from a similarly named student’s record.

  1. Choose the parent-invitation action on the student profile.
  2. Enter the parent’s name and valid email.
  3. Review the student and recipient together.
  4. Send the invitation once.
  5. Tell the recipient to keep the link private and use the account matching the invited email.

Email identifies the parent account. The invitation name addresses the recipient and creates a profile only if that email has no account; it never renames an existing account. Each child still requires a separate accepted invitation and consent.

For a parent already related to this school, use Link another child or select that parent from the current-school parent list on the target student’s profile. Waqar does not expose a global user search. One pending invitation is allowed for a parent email and child pair, while another child may receive its own invitation.

The recipient follows Accept an invitation. A completed acceptance can be safely retried by the same account. An expired, revoked, wrong-email, or conflicting-role attempt does not create a partial membership or child link.

After acceptance, confirm that the intended parent can open the intended child and cannot see unrelated students or school administration. The parent view can include progress, attendance, coverage, milestones, and published assignments according to school policy and available data.

If the wrong recipient or child was used, do not forward the existing invitation or ask users to exchange accounts. Stop, revoke or correct access through supported administration, and issue a new invitation only after the records are verified.

  • Use the parent’s own address, not a shared staff inbox.
  • Do not place the invitation URL in notes or screenshots.
  • Share only the minimum child data needed for the portal.
  • Recheck parent-visible Learning Plan settings before publishing assignments.
  • Treat a report downloaded by a parent as child data outside Waqar once it leaves the application.
